Payments and Cancellations

  • Charlotte Black Car Service requires the use of a major credit card for all reservations, a request is not considered “booked” till a form of payment is on file.  Credit card authorization is obtained 24-48 hours prior to pick up time.  As ALL CHARGES are pre-payment, drivers will not collect charges in cash.  You may tip the driver in person.  A quote is not considered a booking.     
  • We accept:  Visa, Mastercard, Discover, American Express, and DinersClub
  • IF THE CREDIT CARD HOLDER IS NOT GOING TO BE PRESENT WHEN THE VEHICLE ARRIVES, WE MUST HAVE YOU SIGN THIS AGREEMENT AND emailed to bookings@charlotteblackcarservice.com, otherwise we will assume you will be present to sign when the vehicle arrives
  • This agreement/email confirmation is a CONTRACT between Charlotte Black Car Service and the customer for hire of the car service and pertains specifically to the performance by the customer in the limousine.
  • If a customer fails to show at the designated pick up location 40 minutes past the scheduled pick up time, and has not contacted us, the client is considered a “NO SHOW”.  A “NO SHOW” fee equal to the cost of the trip, plus the appropriate vehicle gratuity, applicable waiting time, and all other out of pocket costs will be charged to the customer.
  • Cancellations are accepted by phone only. Cancellations of any vehicle type less than four (4) hours prior to scheduled pick-up, will result in a cancellation fee equal to the full price of the trip fare plus any applicable fees incurred, parking, wait time, etc.  Prom, Wedding, and other “SPECIAL EVENTS” car service is subject to an events cancellation policy.  Please call for details.
  • All reservations will be charged as a pre- payment to hold your spot. 
  • Any changes to pick up time within 24 hours may be subject to charges from original pick up time at the discretion of Charlotte Black Car Service.
  • Hourly Rentals – Cancellation of your event/concert does NOT change our cancellation policy. All rentals over $350 will be charged a cancellation fee of $200 when cancelled prior to 7 days before the event date.
  • All Sedan/SUV reservation cancellations will be refunded when canceled prior to 24 hours before the pick up time.
  • CASH payment for non-scheduled overtime must be received at the start of overtime. Our drivers do not speed to get you back by your scheduled time, so please plan accordingly. We are not responsible for traffic delays, construction, weather, acts of God, or anything out of our control that would cause us to be late for a pickup or drop-off.
  • For daytime events, there may be a scheduled event preventing the use of the limo past a certain time. Please determine this ahead of time to make your plans accordingly. Be sure to allow enough time for your occasion. In some cases, there will be another event booked after yours is scheduled to end. If you think you might need more time, take this into consideration at the time of booking. These events have a way of taking more time than you think. Please keep in mind, OUR VEHICLES DRIVER SLOWER THAN YOURS!
  • Charlotte Black Car Service reserves the right to terminate any reservation without refund, if the Operator or the Service Dispatcher on duty feels that the Renter and or Party of the Renter is putting the Operator or the mode of transportation or the Renter and / or Party of the Renter in danger of injury. Additionally, if the Renter and / or Party of the Renter are in the possession of any illegal material and / or illegal substances, this service will be terminated immediately and charged at the full amount of the reservation. This is without exception.

 

Vehicle Policies

  • Charlotte Black Car Service is not liable in the event of mechanical breakdown while on charter and will only be responsible for making up lost time at a mutually agreed date. The client assumes full financial liability for any damage to the limousine caused during the duration of the rental by them or any members of their party.
  • Not responsible for delays or the termination in winter caused by unsafe road conditions (ie. not salted, accidents, etc.).
  • Not responsible for articles left in the limousine. We are NOT responsible for any of your lost, damaged, or stolen property.
  • Vehicles cannot be loaded beyond seating capacity. Runs cancelled within 7 days will be charged the full balance due if your vehicle cannot get rebooked.
  • In the sole judgment of our driver, if he/she determines that the behavior of you or your guests is out of control, unsafe, illegal, dangerous, or irresponsible to lives and or property; he/she may terminate the service and order all occupants out of the car. He/she may or may not issue a warning before taking such action. If this happens, you WILL NOT receive a REFUND.
  • NO ILLEGAL DRUGS are permitted in any of our Limos. NO SMOKING is permitted in any of our limos at any time; you may request the driver to pull over for you to exit the vehicle to smoke. If you smoke in our limos, there will be $250 FINE. Those under the age of 21 will not be permitted to drink alcohol. Violation will result in the service being terminated, and no refunds will be given. Alcohol will not be permitted in the cars for proms, homecomings, or other school dances. Under the age of 18, it is a state law that the divider stays down unless accompanied by an adult.
  • Seating is always required while the vehicle is in motion. Heavenly Coach is not liable for injuries to you or your guests who are not seated during transit.
  • Any damage by you or any of your guests of the event party to any part of the vehicle will be the responsibility of the individual signing this agreement. Damages will be charged at 150% of the repair cost. The contract signer is responsible for inspecting the vehicle chartered prior to departure to determine previous damages.
  • Do NOT open the ESCAPE HATCHES. They are for emergency exits only; if you break the seals, you will be charged a $200 fine.
  • The customer agrees that a replacement limousine/vehicle may be substituted in the event of any mechanical issues or accidents, etc. We maintenance our cars regularly, but sometimes we can’t predict minor mechanical problems. If a replacement limousine/vehicle is unavailable, we will make every effort to transport you to your destination free of charge.
  • Bio Hazard MIN $1000 CLEANUP FEE
    *ANY blood, Urine, Feces, Semen, Body Discharge, Ear Wax, Snot, Spit, bandage, protection, adult toys or feminine hygiene product, Diapers, Pullups, Depends, dead animals*
  • Trash & Spills NON Bio Hazard

    $250
    ANY DAMAGES (OVER AND ABOVE “NORMAL USE”) WILL RESULT IN YOUR CREDIT CARD BEING CHARGED. IF WE DO NOT HAVE A CARD ON FILE, YOU WILL STILL BE RESPONSIBLE FOR THE CHARGES AND WILL BE BILLED.
